Job Description

Creative Build Team

The Creative Build Team is responsible for Project Managing build elements through the design and production process. A Build Project is the physical product we supply – either through in-house manufacture, purchasing, outsourcing or a combination of these. Build Managers are the central point of contact for Builds, liasing with all stakeholders, and steering the project. Sitting in between Design & Production departments, the Creative Build Team strive to ensure success on every build, across every project. Build Projects vary – they include our own Rental Products, and Bespoke Client Projects. The Primary function of the build Manager/Co-ordinator, is to take full ownership for assigned builds and strive to ensure success.
Build Project Success means;
• We’re meeting our deadlines
• We’ve built an item to the expected quality, technical and aesthetic
• We’ve built the item/s for the available budget
What will you do daily?
• Manage multiple build projects through the design & build process
• Read through newly assigned briefs and resolve outstanding queries, -make a plan.
• Plan your builds – select appropriate and achievable build methods, approve these where necessary.
• Plan the approval points (both internal and client) and ensure that these are communicated well
• Develop full briefing packs/work orders for production with all the relevant information
• Raise any work orders, or update any new information
• Be present on the production floor, personally briefing where possible, and be present to monitor progress, steer decisions, approvals etc
• Collaborate with Build & Design peers, production management and supervisors to make the best decisions on builds
• Attend daily and weekly meetings to review progress and highlight issues
• Keep any relevant information up to date on systems such as Current – ensuring items are accurate for picking
• This will mean checking, and adding more information to our internal work ticket systems
• You will be assigned Build projects at the earliest opportunity – steering the projects through the design and build process. Where possible this will include contributing to build methods and estimates. Projects come with varying levels of initial detail – particularly time-critical ones.
• You understand that you take full ownership for your builds – and you take this responsibility. You also know when and how to delegate successfully – and when to ask for help in order not to jeopardise a project.
• Delivering success for any build starts with fully understanding your brief. You cannot ensure project success if there are things you don’t know. You ask questions, then provide clarity.
• You’ll need to fully understand the approval stages in order to minimise risk to a project. You need to balance approvals and feedback alongside overall project plan and deadlines – ultimately you are responsible for the build so your communication style and planning & organising skills are key to achieving this.
• You are the central point of contact on this build, so strong communication is essential. You understand who your stakeholders are, and how and when you need to communicate with them – you are proactively informed on wider business -you understand how outcomes can impact others.
• You will need to juggle multiple builds across different timescales – prioritising and re-prioritising elements of projects. You should be attentive in order to react swiftly to changing information.
• You will need to make many decisions on a daily, even hourly basis – so you should be able to listen, analyse, and make confident decisions.
• You will interact with many areas of the business, and provide specific instruction to individuals on a daily basis – you should be able to build positive, respectful working relationships with people.
• Whilst the Build management function is very much about taking full ownership, we are ONE team, so close collaboration and assistance with the rest of the build team is essential in order to help each other.
• You understand the importance of process, so you strive to ensure all systems are accurate and up to date, and that communications are timely, and that processes are consistently followed.
• We cannot measure what we do not know, so you understand the importance of cost tracking. You ensure your timesheets, purchasing and materials are as accurate as possible.
• When we learn, we improve – so you should embody a continuous improvement mindset. You stay informed about new materials, processes and techniques. You enjoy reporting on your completed projects- and learning. Where budgetary possible you champion R&D opportunities to push us forward.

Responsibilities

• Sourcing and/or purchasing special materials or products for the project
• Collaborating with the relevant Event Manager/Operations Team on the delivery or installation of any build elements.
• Checking the costs of your builds are on track
• Attending meetings to discuss new builds and build projects, and provide progress updates on projects
• More experienced Build Managers will contribute to the early concept stages of a project and assist in estimating or build approach.
• On larger build projects, managers may collaborate with the Sales Account Manager in communicating with the client on direct feedback and approvals.
